RRS collects and holds data from all of our clients, website visitors and those that interact with us in order to fulfil our services. When interacting with RRS you give RRS consent to process your data and to generate your contract both under lawful basis’.  Furthermore RRS has a legal obligation to check and verify your Identity your contract to satisfy the law and HMO regulations and requirements. We use information you provide for our legitimate interests, for example but not limited to, developing our services, continue growth, to keep records updated.

 

What data does RRS Collect?

Room Rental Specialists Ltd is the data controller and will hold the information you submit to us this includes but is not limited to your personal information (ID, Visa, required under the Right to Rent requirements, name, address history, date of birth, employment history, educational history, username, password, interests and preferences, constructive feedback and responses). Contact Information (addresses, email addresses, telephone numbers, billing addresses. Financial data (bank account details, payment/ transactional details), Information Data (data provided though interacting with our website and third party’s, e.g. social media channels, advertising portals, analytical data collected by third party software on our website e.g. Google Analytics). Marketing Data (your communication preferences)

 

How does RRS collect your data? 

RRS collects your data through interactions with us, this can be electronic (email, through our website, social media channels or advertising portals), in person, by telephone including text messages, what’s app, mail or through third party suppliers and or contractors.

 

Who does RRS share Data with? 

 Your information will not be shared or sold, other than with third party service providers and we disclose only necessary personal information for the performance of the service. We will disclose the relevant information for the purposes of providing you a reference, if it is requested by law or any court order or if you request. This will include but is not limited to confirming tenancy dates, conduct during the tenancy, the rental amount you pay. In the case of you being a debtor; we will share your information with third parties in order to recover the debt. In the case of RRS being merged, sold or if we acquire new business interests then the data collected may be used by the new owners, if applicable, in the same way as detailed in this privacy notice.

 

How & Why does RRS we use your Information? 

As detailed earlier in this privacy policy, we use your information to perform our services to you and provide you with information necessary in order to perform our service to you. To do this, we may write to you, email you, telephone you, contact you through advertising portals or our social media channels.

 

Data Retention & Security 

We keep your data for seven years beyond our interaction for accounting, statutory and legal purposes. In some circumstances it maybe necessary to continue to retain data, we will ensure a risk assessment is performed if this is the case and esnure that you are not identified by the data if necessary.

We will hold your information securely and confidentially, and will not discus your agreement with any other person other than yourself, and or your Guarantor unless you provide express permission. If we do discover a breach then the Information Commissioners Office will be notified and if it is serious you will be notified as per our legal requirement.
